Leveraging the Power of Microsoft 365: Loop, Power Automate, and Engage
Agility, collaboration, and automation are key pillars of success in the modern workplace. But how can organisations achieve this? For me, the key lies in embracing the modern workplace ecosystem; one that facilitates organisations in streamlining operations, empowering employees with better digital experiences, and enhancing the flow of information.
Microsoft 365 (M365) has emerged as something of a powerhouse in this regard, offering users a suite of applications designed to foster productivity and innovation. From its foundational offerings (the likes of Word, Excel, and Outlook) to its more advanced and integrated tools (Teams, SharePoint, Power Platform, etc.), M365 delivers a unified platform that supports both everyday tasks and more complex business processes.
Over the years, I’ve witnessed M365’s cloud-based architecture help organisations in their quest for agility and collaboration by ensuring real-time access to content from any device, anywhere, and offering the flexibility and scalability businesses need to adapt quickly to changing needs. These are crucial in today’s fast-paced, hybrid-working, and – let’s face it – voraciously unpredictable world.
I have also seen M365 build on organisations’ ability to make intelligent insights, powered by the rise of AI and tools like Microsoft Graph and Power BI. With these, M365 enables organisations to not only work more efficiently but also make more informed decisions.
Still, there are three more M365 tools that I’d like to talk about in this article. Potentially, these are apps readers haven’t yet explored and so don’t yet understand the value they can bring to the table as part of a modern workplace strategy. They are: Loop, Power Automate, and Viva Engage.
Let’s take a closer look…
Microsoft Loop: real-time collaboration redefined
At the heart of modern collaboration is the need for flexibility and synchronicity. Microsoft Loop answers this call with an intriguing approach to content creation and management that combines a powerful and flexible canvas with portable components. Importantly, these components move freely and stay in sync across M365 applications, enabling teams to think, plan, and create together seamlessly.
In a nutshell, Loop brings together components, pages, and workspaces into a single, seamless experience. For instance, a checklist started in a Teams chat can be updated in a Loop-enabled Word document or embedded into Outlook, and all changes will be reflected instantly. This fluid collaboration reduces duplication and ensures alignment across platforms.
Loop can also be used by project managers, for instance, as a fluid framework to assign tasks, track progress, and maintain alignment across departments. Its modular nature also lends itself well to more agile methodologies, where iterative collaboration, transparency, and visibility are essential.
The result for everyone is a collaborative environment that is not only more efficient but also more engaging, an element of user experience we shouldn’t overlook as work becomes more and more digital.
Power Automate: workflow automation at scale
Efficiency in the workplace often hinges on the ability to automate repetitive tasks and standardise processes and Power Automate is M365’s answer to this challenge.
Just as it sounds, Power Automate enables users to create automated workflows between apps and services (both Microsoft and third-party). It’s designed to save time on repetitive tasks and simplify processes to free-up the work-lives of users so they can re-direct their efforts to more business-critical tasks.
A bonus is that Power Automate’s no-code/low-code platform also democratises the use of automation. This means that even ‘everyday’ users can automate simple processes such as approvals, notifications, or data collection without needing any deep technical expertise. Meanwhile, users with more technical knowledge can build more complex integrations using connectors, custom scripts, and AI-enhanced workflows.
A common application for the tool in HR, for example, might involve automating onboarding processes, i.e. once a new employee’s details are added to SharePoint, Power Automate can trigger tasks such as sending welcome emails, provisioning accounts, and scheduling training sessions. In finance, it might be used to streamline invoice processing by integrating with Outlook, Excel, and accounting software to manage approvals and record-keeping.
Beyond internal use, Power Automate can also play a pivotal role in customer engagement by integrating with external platforms like Salesforce, X (formerly Twitter), and MailChimp. In this way, it’s also a useful tool for sales and marketing teams to respond faster and more intelligently to customer interactions, e.g., using automated categorisation, extracting key information, or automating sentiment analysis to prioritise urgent enquiries.
Viva Engage: building a culture of connection
While technology may well optimise processes and data flows, the human element remains central to organisational success – something it’s all too easy to forget in the age of artificial intelligence.
This is where Viva Engage enters the picture. Part of the Microsoft Viva suite, Engage is designed to connect employees, amplify voices, and build inclusive communities within an organisation.
Inside hybrid or fully remote workplaces employees often face challenges in feeling connected to their peers and company culture. Viva Engage addresses this by offering a familiar social experience within M365, one where leaders (or anyone!) can share updates, employees can recognise achievements and ask questions, and cross-functional conversations can thrive.
Essentially, Viva Engage promotes transparency and inclusivity. Exec teams can host AMA (ask me anything) sessions, while team members can participate in interest groups or communities aligned to personal or professional passions. This strengthens not only internal communication but also promotes a sense of belonging and purpose. Moreover, Viva’s easy integration with tools like Teams and Outlook ensures that communication is accessible and embedded into daily workflows. It also supports knowledge sharing by archiving conversations and surfacing relevant discussions, thereby turning informal dialogue into a real organisational asset.
The synergy of M365 in the modern workplace
Of course, what makes M365 particularly powerful is not just the individual capabilities of tools like Loop, Power Automate, or Viva Engage, but how they interoperate to create a cohesive digital ecosystem.
Imagine a scenario in which a product development team is planning a new feature release. Using Loop, they can create a shared workspace with components that span Teams, Outlook, and OneNote. As ideas evolve, the group leverages Power Automate to set up workflows that trigger reminders, assign tasks, and escalate issues. Meanwhile, Viva Engage is used to solicit feedback from broader communities and celebrate team milestones.
This integrated approach ensures that information flows freely, processes run smoothly, and people remain connected and motivated. It exemplifies how M365 is not just a set of tools but a strategic enabler of modern work.
Final word
As organisations navigate the complexities of hybrid work, digital transformation, and employee engagement, Microsoft 365 continues to offer a compelling toolkit that assists businesses in staying ahead of the curve.
Tools like Loop, Power Automate, and Viva Engage go beyond solving present-day challenges. They lay the groundwork for workplaces that are more adaptive, intelligent, and resilient. By embedding innovation into everyday operations, M365 empowers organisations to continuously evolve, respond to change with confidence, and build a workplace environment that thrives in uncertainty.
